Our Refund & Cancellation Policy

At Bylnn Solutions, we are committed to transparency and fairness in our policies. Please review the following guidelines regarding refunds, cancellations, and rescheduling:

Refund Policy

1. No Refunds After DNA Collection

Once DNA samples have been collected, refunds are no longer available.

2. Sample Recollection

If sample recollection is required but a participant is unable or unwilling to comply, no refund will be issued.

3. Estimated Completion Times

While we strive to deliver results promptly, delays may occasionally occur. Refunds will not be issued once testing has commenced, even if estimated completion times are exceeded.

4. Discretionary Refunds

Refunds are granted at our discretion and may be subject to administrative or handling fees. Please note that deposits and partial payments are non-refundable.

Cancellation Policy

1. Postnatal DNA Testing

Cancellations after full payment are subject to a $40 cancellation fee.

2. Non-Invasive Prenatal Testing

Due to the specialized nature of this service, cancellations after full payment incur a $200 non-refundable fee.

No-Show Policy

Failure to appear for a scheduled appointment without prior notice will result in being charged the full-service fee. No refunds will be issued.

Rescheduling Policy

1. Appointments can be rescheduled once at no additional charge.

2. Any subsequent rescheduling will incur a $40 penalty fee.

Standard Procedures for Refunds, Cancellations, and Rescheduling

The following procedures ensure that our refund, cancellation, and rescheduling policies are applied consistently and fairly.

 

Refund Procedures

1. Verification of Refund Eligibility:

○ Confirm whether the DNA collection has occurred.

○ Check the status of the sample and determine if testing has begun.

○ Review client records for discretionary refund eligibility.

2. Processing Discretionary Refunds:

○ Calculate any applicable administrative or handling fees.

○ Process the refund through the original payment method within 7-10 business days.

○ Notify the client in writing with a detailed refund breakdown.

3. Documentation:

○ Update the client’s file to reflect the refund decision and amount.

Cancellation Procedures

1. Postnatal DNA Testing:

○ Confirm the cancellation request and verify payment status.

○ Deduct the $40 cancellation fee and process the refund or adjust the client’s account.

○ Send confirmation of cancellation and fees to the client via email or preferred method.

2. Non-Invasive Prenatal Testing:

○ Confirm the cancellation request.

○ Apply the $200 non-refundable fee.

○ Notify the client of the remaining balance or refund amount, if applicable.

3. Recordkeeping:

○ Document all cancellations and associated fees in the client’s file.

No-Show Procedures

1. Appointment Monitoring:

○ Verify if the client failed to appear for their scheduled appointment.

○ Contact the client to confirm the missed appointment and provide next steps.

2. Fee Application:

○ Charge the full-service fee to the client’s account.

○ Notify the client of the no-show policy and the associated charges.

3. Rescheduling Opportunity:

○ Inform the client of the option to schedule a new appointment with applicable fees.

Rescheduling Procedures

1. First Reschedule:

○ Confirm the reschedule request and update the appointment date and time at no charge.

2. Subsequent Reschedules:

○ Inform the client of the $40 penalty fee for additional rescheduling.

○ Collect the fee before confirming the new appointment.

3. Documentation:

○ Update the scheduling system and client records to reflect the reschedule request and any associated fees.

Client Communication

Policy Acknowledgment:   Ensure all clients are made aware of these policies during the initial consultation and prior to payment.

Follow-Up:   Provide clear, written confirmation for all refunds, cancellations, or rescheduling requests.
